1. The Global Overview

The main dashboard provides a high-level command center to monitor the real-time status of your entire ecosystem. Data is categorized into three core tiers:

  • Agency Level: High-level operational metrics, profitability, and resource distribution.
  • Project Level: Milestone tracking, budget burn rates, and specific project health indicators.
  • Client Level: Direct performance results, satisfaction scores, and individual growth trends.

2. Cross-Metric Engine

The KPI section is powered by a Cross-Metric Engine. This allows the system to correlate data between different tiers—for example, measuring how an Agency-level resource shift affects a specific Client’s performance.

Internal vs. Custom KPIs: Users can create and associate metrics to any of the three tiers. Whether it's a standard operational KPI or a unique business-specific metric, the dashboard adapts to show the relevant correlation.

3. The Proprietary KPI Database

Unlike standard reporting tools, we provide a pre-configured Proprietary KPI Database. You don't need to build formulas from scratch.

  • Automated Calculation: Our engine recalculates every metric in real-time based on actual business events and data flows.
  • Dynamic Association: Every event occurring within the business (a new integration, a closed milestone, or a budget update) automatically updates the associated KPIs across all three typologies.

4. Visual Intelligence

Utilize the Smart Filters to toggle between Agency, Project, and Client views. The ZoAnimatedBorder logic will highlight KPIs that are currently being recalculated or require immediate attention due to performance shifts.

Operations & Systems Manual

1. Client Projects

The Client Projects section is the operational heart of the agency. Each project acts as a Smart Folder designed to house specific context, metrics, and outcomes.

  • Contextual Intelligence: Projects store unique data environments. We recommend creating separate projects per client if the context differs (e.g., separating Social Media Authority from Financial Management).
  • Flexible Association: Projects can be standalone or linked to a specific client profile.
  • Specific Metrics: Each project calculates its own set of results based on its internal data and active workflows.

2. Company Flows & Workflow Management

This section centralizes all automations. While you can connect multiple platforms (e.g., an LLM or CRM N times) within a project, a specific workflow type can only be activated once per project.

Operational Tabs:

  • Overview: A general summary of all active workflows and their primary deployment logic.
  • Calendar: A visual timeline displaying all historical and scheduled workflow executions.
  • Execution Logs: A detailed technical registry of every process triggered, including timestamps and output data.
  • Platform Health: A specialized monitoring dashboard categorized by Project and Workflow, showing the real-time connection status of every integrated platform.

3. GenAI Tokens

The GenAI Tokens area provides total control over your AI infrastructure and operational costs.

  • Token Tracking: Real-time monitoring and historical logs of token consumption across all active models.
  • LLM Management: Purchase, connect, and configure different Large Language Models (LLMs) directly from this interface.
  • Connectivity: Centralized hub to ensure your AI models are properly authenticated and ready for workflow execution.

Growth & Business Manual

1. Flow Store: Business Process Library

The Flow Store is a curated marketplace of business processes and workflows, organized by category to help you identify the right technology for your growth objectives.

  • Deployment Workflow: When selecting a flow, you must assign it to a specific Project. You can customize the visual representation with a specific Name and Color, ensuring clear distinction between different client environments and their associated metrics.
  • Secure Connection Hub: This is where platform credentials are managed. You can either input credentials directly or generate a Secure Activation Link.
  • Privacy-First Operations: Sending the activation link to a client allows them to grant access without sharing sensitive credentials with the agency. This enables the agency to operate, measure, and track the process while maintaining total data privacy.

2. Activation Center & Branding Control

The Activation Center is the management hub for all client-facing links, designed to foster trust and professional transparency.

Management Tabs:

  • Link Registry (Tab 1): A comprehensive log of all generated activation links. Monitor which link belongs to which project/workflow and track the specific branding snapshot applied to each.
  • Branding Configuration (Tab 2): Design the visual identity of your activation links. This "performative" exhibition demonstrates agency professionalism, safety, and reliability to the end client.

Strategic Branding Strategy

While you can create multiple branding profiles for specific sales campaigns or premium clients, the system will always apply the Default Branding Snapshot to new workflows. Use varied brandings to differentiate your service level and maintain a bespoke aesthetic for high-value accounts.

3. GenAI Strategic Implementation

Beyond simple chat, the GenAI engine acts as a productivity multiplier. Business users leverage this to synthesize data from all active Flow Store integrations into actionable KPIs.

The Customers and Leads sections act as the primary database for your agency's relationships. These screens provide a unified view to track, organize, and scale your contact list.

Core Actions: From both screens, users can Create, Edit, and Search for entries using advanced filters. This ensures high-speed access to data even as your database grows to thousands of records.

2. Dynamic Conversion Engine

One of the most powerful features of our CRM logic is the Bi-directional Conversion. Relationships are not static; our platform allows you to move contacts fluidly through your funnel:

  • Lead to Customer: Convert a prospect into a full Client once a partnership is solidified. This transition automatically unlocks access to deeper Client Project associations.
  • Customer to Lead: Revert a status if a project ends but you wish to keep the contact for future nurturing or remarketing campaigns.

This flexibility ensures your Global Dashboard KPIs always reflect the true state of your business pipeline.

3. Search & Advanced Filtering

To maintain operational speed, the search engine indexes all custom fields and metadata. Whether you are looking for a specific project tag or a client's historical performance, the results are delivered in real-time.

Growth Insight

Regularly auditing your Leads tab and converting them into Customers directly impacts your Agency-level KPIs. Use the search tool to identify high-value prospects that have been inactive and trigger a new Flow Store activation link to re-engage them.

1. Chat Hub: Unified Connectivity

The Chat Hub is the operational nervous system of the platform, merging human collaboration with AI intelligence.

  • Group Collaboration: Real-time chat channels for internal agency communication.

  • Information Privacy: Distinct sections for Public Information (visible to clients in activation links) and Private Data (internal agency records).
  • Session Security: Monitor active Sessions across different devices to ensure account integrity and prevent unauthorized access.

2. User Profile: Personal Identity

Identity Controls: Update your Headline, professional bio, and profile image to ensure your team and clients recognize your contributions.

The Finance subsection is a restricted area, visible exclusively to users with Administrator privileges. It provides total transparency over your agency’s commercial relationship with the platform.

  • Agency Plan: View your current subscription tier, active limits, and upgrade options.
  • Transaction History: A real-time ledger of all payments, credits, and platform-related expenses.

Administrator Privacy
